Department: Front Office - Reception
Responsible to: Shift Leader, Assistant Front Office Manager, Front Office Manager
Job purpose: To deliver a prompt and efficient telephone service ensuring the highest standards of guest care and service.
GENERAL DUTIES
1. To consistently provide and maintain the highest standard of guest care and service.
2. To maintain a high standard of personal hygiene and grooming at all times.
3. To ensure that your designated uniform is worn, well pressed and in a good state of repair at all times.
4. To familiarise yourself with your departmental Standards of Performance and to be able to demonstrate their application.
5. To have a good knowledge of all hotel facilities and be able to answer guest questions in a polite, helpful and efficient manner.
6. To handle any guest complaints or problems promptly and to ensure that all resolved/unresolved incidents are reported to your Head of Department.
7. To act on your responsibilities detailed in the Health and Safety at Work Act 1974.
8. To demonstrate a working knowledge of fire prevention and to follow the hotel evacuation plan on hearing the alarm.
9. To be security conscious with respect to guest/staff/hotel property/welfare and to report suspicious circumstances to your Supervisor.
10. To report any damage to furniture, fittings and equipment to your Supervisor.
11. To maintain your departmental area in a safe, hygienic and presentable state at all times.
12. To co-operate and communicate with your colleagues, Supervisors, Head of Department and Management to ensure effective department team work and high morale.
13. To attend any meetings, training sessions or courses that may be beneficial to you and your department on request from your Supervisor/Head of Department.
14. To follow all procedures set up for energy conservation.
SPECIFIC DUTIES
1. To answer incoming and place outgoing calls in accordance with the procedures and standards outlined in the Switchboard SOP Manual.
2. To take messages in accordance with the procedure outlined in the Switchboard SOP Manual.
3. To report and log all maintenance faults which occur on the Hotel's switchboard and telephone system in accordance with the procedures shown in the Switchboard SOP Manual.
4. To make operator assisted calls for the Hotel guests in accordance with the procedures shown in the Switchboard SOP Manual.
5. To be fully conversant with the operation of the Hotel's telephone system, and to be able to respond to requests and faults without delay.
6. To be fully aware of all Hotel promotions and daily in-house functions and to reproduce a Hotel Function list for the switchboard notice board on a weekly basis.
7. To ensure that the Switchboard area is kept clean and tidy at all times and all equipment is handled in accordance with the standards set in the SOP Manual.
8. To monitor the fire alarm computer and advice the Shift Leader/Deputy Front Office Manager/Front of House Manager/ Duty Manager of any change in normal status.
9. To update the internal telephone list and distribute to all departments.
10.To carry out other reasonable duties pertaining to the switchboard as requested by the Front Office Deputy Manager or Front of House Manager.
